Trackwize is built around a simple principle. Your work belongs to you and your organisation. We design our product to collect as little personal information as possible while providing the features you choose to use.
This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you.
Who we are
Trackwize is a work intelligence platform for service teams based in Pune, Maharashtra, India.
Throughout this Privacy Policy, “Trackwize”, “we”, “us”, and “our” refer to Trackwize.

Information we collect
Waitlist information
If you join our waitlist, we collect:

- →Any information you choose to provide in the requirements field
We use this information to contact you about beta access, product updates, and related communications.
Website analytics
We collect limited website analytics to understand how people use our website. This may include:

- –We do not use advertising cookies.

- –We do not build advertising profiles about visitors.
Account information
When your organisation uses Trackwize, we may process information necessary to provide the service, including account details, workspace information, and user preferences.
AI-powered features
Some Trackwize features use artificial intelligence to analyse information that you choose to submit. This may include:
- →Screenshots
- →Product specifications
- →Documents
- →Text entered into AI features
When you use these features, the content is securely transmitted to the Google Gemini API to generate the requested analysis. We currently use Google AI Studio and the Gemini API for these features.
- –We do not use your content to train our own AI models.
- –Customer content submitted through the Gemini API is not used by Google to train its models under our selected service configuration.
Product usage information
Trackwize performs most work recognition directly on your device. Apart from content you intentionally submit to AI-powered features, we do not upload your raw work activity for analysis.
If you choose to participate, we also receive anonymised and aggregated product usage metrics. These metrics help us understand which features are useful and where improvements are needed. They are not designed to identify individual users.
Technical information
To maintain and improve the service, we may collect technical information such as:

These logs are used to operate, secure, troubleshoot, and improve Trackwize.
How we use your information

Data retention
Waitlist information is retained until you unsubscribe or request deletion. We delete waitlist information within 30 days after a verified deletion request.
Content submitted for AI analysis may be temporarily stored on our secure infrastructure to provide the requested feature, improve reliability, investigate technical issues, and comply with legal obligations. We retain this information only for as long as reasonably necessary.
Anonymised and aggregated analytics that cannot reasonably identify an individual may be retained for a longer period. System logs and security records are retained only for operational, security, and compliance purposes.
Your rights

Business customers
When Trackwize is used by an organisation, that organisation generally determines how employee information is collected and used. In those situations, the organisation acts as the data controller, and Trackwize acts as a data processor providing services on its behalf.
If your employer uses Trackwize, requests relating to your workplace data may need to be directed to your organisation.
Cookies
We use only cookies and similar technologies that are necessary to operate our website and understand general website usage.

Security
We use administrative, technical, and organisational safeguards designed to protect personal information. Information transmitted between your device and our services is encrypted using TLS. Access to personal information is limited to authorised personnel who require access to perform their responsibilities.
Although we work hard to protect your information, no method of transmission or storage can be guaranteed to be completely secure. If we become aware of a security incident affecting your personal information, we will notify affected users and relevant authorities where required by law.

Trackwize is intended for business use and is not designed for individuals under 18 years of age. We do not knowingly collect personal information from children.
